Space Setup Guidelines

 

To maintain a safe, clean, and professional shopping environment, all vendors must follow the space guidelines below.


Quick Rules (Read This First)

  • Maximum height: 6 feet (open above only)

  • Stay within your booth (the black tape line), nothing in aisles

  • No enclosed spaces, doors, or rooms

  • Flooring must follow approved guidelines

  • All modifications are at vendor expense

  • Get written approval before making changes

  • All spaces are taken by vendor in as-is condition and Calvada Marketplace is not responsible for any improvements

Approval Requirement

  • All requests for exceptions or modifications must be submitted in writing to management. Send to calvadamarketplace@yahoo.com

  • You must receive approval before starting any modification work. Painting, wallpaper, and flooring do not need approval as long as they follow the guidelines.

  • Any unapproved work may be removed or corrected at vendors expense


Booth Structure

  • All materials must remain at or below 6 feet in height, displays can go higher than 6 feet as long as they are safe

  • Any materials above 6 feet must remain open (no solid coverings or enclosures)

  • Booths must remain open, no fully enclosed spaces

  • No doors, ceilings, or closed-off rooms

  • Structures above your space may be allowed with prior written approval, but must remain open and not enclosed

  • Any approved overhead structures must be safe, secure, and properly installed

  • All overhead structures must remain in place if you move or leave


Booth Space & Boundaries

  • All items must remain within your assigned booth and partition lines

  • Nothing may extend into aisles or past tape lines

  • Do not place items on top of partition frames without prior written approval from management

  • Do not modify partitions into enclosed or room-like spaces


Partitions & Walls

  • Vendors must install their own partition wall coverings (pegboard, plywood, underlayment, beadboard, slatwall, NO drywall)

  • Partition frames may not be left exposed without prior written approval

  • If your space includes an end cap, it must also be enclosed. You may use it for hanging items, but nothing can extend more than 2–6 inches, depending on its position. Check with management to see how far you can extend. Shelving is not permitted on these end caps, and floor space may only be used if it falls within your assigned area. If the end cap is shared with or located in another vendor’s space, you must coordinate with them on its use.
  • Do not paint partition frames, they must remain raw wood

    • If painted or modified, you will be charged for restoration

  • For spaces using the tall building walls:

    • Paint or wallpaper may only go up to 6 feet

    • Extending higher requires prior written approval

  • If moving into a new space:

    • You must paint or wallpaper walls or partitions to personalize your space

    • If walls or partitions are already white, they may remain as-is


Flooring

  • Vendors may install flooring at their own expense

  • Approved flooring:

    • Peel-and-stick flooring only (no tack paper allowed)

    • Wood flooring must include a proper threshold to prevent tripping

    • Rugs must be secured with rug tape underneath only, no tape visible on top

  • If a rug becomes a safety hazard, it may be removed without notice and placed in your booth

  • Flooring must remain in place if you move or leave

  • Existing flooring in a new space may be kept or replaced


Display Materials & Fixtures

  • Approved fixtures include furniture, pegboard, slatwall, shelving, and similar fixtures for merchandising

  • Materials may not exceed the 6-foot height limit

  • Fixtures must be stable and safe but can extend higher than 6 feet

  • Management may require removal of unsafe or excessively heavy items

  • No permanent structural modifications


Electrical & Lighting

  • Electrical work must be completed by a licensed electrician

    • Management can help connect you with one

    • All costs are the vendor’s responsibility

  • Electrical must be left in place if you move or leave

  • Electrical may not be installed inside partition walls, it must be run above partitions

  • Vendors may install lighting (including chandeliers and fixtures) with proper power


Security Cameras

  • Vendors may not use or operate active security cameras within their booth. Vendors may, however, use dummy/fake cameras and/or display “Smile, You’re on Camera” signs for deterrence purposes.

    • Fake/dummy cameras and signage must be positioned only within the vendor’s booth and may not be directed or positioned in a way that suggests surveillance of neighboring booths or common areas.
    • No active recording, live-streaming, or surveillance devices are permitted.
    • WiFi or power is not provided by the store. Vendors are responsible for providing their own WiFi and power for any permitted devices or displays.

     


Safety & Building Fixtures

  • The following must not be blocked, removed, or altered:

    • Electrical panels

    • Fire extinguishers

    • Emergency lighting

    • Security cameras

  • No hazardous materials, open flames, or unsafe equipment are allowed


Conduct & Shared Environment

  • Vendors may not create excessive noise or disruptions from their spaces (meaning no music or other audio devices playing)

  • Booths must be kept clean, stocked, and organized at all times (unless prior written approval has been given)


Moving Out / Transferring Spaces

  • Flooring, paint, wallpaper, and approved overhead structures must remain in place

  • Partition coverings may be:

    • Left behind with no penalty, or

    • Removed by the vendor

  • Any items, materials, fixtures left behind may be will be considered abandoned and become property of Calvada Marketplace


Compliance & Enforcement

  • All booth modifications are done at the vendor’s expense

  • Management reserves the right to:

    • Request immediate corrections

    • Enter booths and make necessary adjustments

    • Remove non-compliant items

    • Charge vendors for any required fixes or damages, within reason

  • No prior notice will be given to vendor but if corrections are required then written notice will be provided

Important Notice

These guidelines are in place to ensure safety, consistency, and a positive shopping experience.
Failure to follow these rules may result in required corrections, removal of items, or additional charges appropriate with the infraction.

These guidelines may change without notice, we recommend checking these from time to time.
